Announcing the Open Call for Projects for Roppongi Art Night 2018.

Roppongi Art Night is a celebration of art presented in the streets around the Roppongi area of Tokyo. The festival spans the whole of the Roppongi district, centered on cultural institutions including art museums, large-scale building complexes and shopping streets. Highlighting the social possibilities of art, the festival features a range of events, from art exhibitions to music, performances and talks.

The Roppongi Art Night Executive Committee will hold an open call for projects, seeking proposals for the festival to be held in spring 2018.

This is an opportunity to plan and present a project at Roppongi Art Night 2018. The Roppongi Art Night Executive Committee is seeking proposals featuring truly unique works of art or exhibits that will light up the streets of Roppongi with the power of art.

The Roppongi Art Night Executive Committee is open to receiving proposals from anyone, including curators, planners, artists, and performers. We welcome proposals that will transform a corner of Roppongi on this one special night of the year.

Applications Overview

Content of Proposed Projects

There are no conditions on type of project (for example, installation, video, music, performance, etc.). Applicants are free to plan their project in any way they choose to be presented on the streets of Roppongi over the two days of Roppongi Art Night 2018.

Projects ineligible for inclusion:
  • • Projects that have as their purpose religious or political advocacy
  • • Projects that have as their purpose the provision of contributions to a particular charity
  • • Projects that have as their principal purpose the sale of exhibits or products
  • • Projects that have as their purpose advertising for or advocacy of a specific group or corporation, etc.

The programs will fundamentally be free of charge. However, any participation or admission fees collected from participants shall revert to the Roppongi Art Night Executive Committee.

Eligible Applicants

Individuals or groups who are able to exhibit or present their projects during the Roppongi Art Night 2018 development period. There are no conditions related to applicant age or career history.

When applying, applicants are required to confirm and submit the Statement of Consent.

Application Conditions

Applications are accepted for projects that fit into the following conditions of production costs, project type, and venue. Please select the applicable category for your proposal.

① Production Costs (including costs for installing and anything related to artwork)
  • ▪ Max. 500,000 yen
  • ▪ Max. 1 million yen
  • ▪ Max. 1.5 million yen
  • All are inclusive of taxes.
  • Includes all costs of transporting, exhibiting, removing and performance of the work.
  • After completion of the screening and selection process, production costs will be discussed individually with applicants and then a final budget decided.

Production Costs

A maximum amount of 1.5 million yen per selected proposal (including tax) will be assumed by the Roppongi Art Night Executive Committee. Refer to the separate document Open Call Project Applicable Expenses List for costs designated as production costs.

Selection Criteria

Criteria includes the originality of the project, how it combines art with the city of Tokyo, the feasibility of the artwork, and the project’s ability to include the participation of local residents.

Handling of Artworks

Propriety rights for artworks produced with funds provided by the Roppongi Art Night Executive Committee shall revert to the organizer.

Duties of the Planner (Applicant)

  1. Determining and coordinating with persons associated with the works to be exhibited (artists, producers, performers, contractors/operators, etc.)
  2. Cooperating in public relations activities organized by the Roppongi Art Night Executive Committee
  3. Creating a plan for installing, managing, implementing and controlling the project at the venue before and on the day of the event
  4. Attending meetings and events as requested by sponsors, such as planning and production meetings
  5. Submitting an implementation report and a revenue/expenditure report
  6. Submitting substantiating documents
  7. Submitting others documents as required for the project in question

Duties of the Roppongi Art Night Executive Committee

  1. Providing free of charge a venue for implementation of a program
  2. Publishing information in materials produced by the Executive Committee
  3. Assuming production costs (with an upper limit on the amount and restrictions on the use of funds)

Deadline for Applications

Applications must be received no later than 14 January 2018 (Sunday). This date applies to both required application form and mailing by post.

Application Documents

Applications can be submitted by e-mail or physical mail.
In addition to the application form, there is a planning proposal document that applicants are free to complete in any way they choose. Applicants are also welcome to include video or music URLs, and so on. Three-dimensional items will not be accepted.
Please be aware that submissions will not be returned.
