Open Call: Roppongi Art Night 2015 “Open Call Project”

Announcing the “Open Call Project” for Roppongi Art Night to be held in April 2015.

Roppongi Art Night is a one-night, all-night celebration of art staged throughout the streets of Roppongi. The festival spans the whole of the Roppongi district, centered on cultural institutions including art museums, large-scale building complexes and shopping centers. As a festival that highlights the role of art in society, it features a range of events, from art exhibitions to music, performances and public discussions.

Here is an opportunity for you to become one of the planners of the 2015 Art Night. If you have an idea for a truly unique artwork that will light up the streets of Roppongi with the power of art, the Roppongi Art Night Executive Committee is ready to support the implementation of your idea.

We are open to receiving proposals from people such as curators, planners, artists and performers. Do give some thought to what you envision electrifying, which corner of Roppongi on this one special night of the year, etc.

Applicant profile

Individuals or groups who are able to exhibit or present their projects during the Roppongi Art Night 2015 development period (specified below). Applicant’s age or career history is completely irrelevant.
*However, they must be able to participate in the “Open Call Project Public Presentation” (see below).
*Upon applying, applicants are required to submit a written oath declaring their non-affiliation with violent gangs.

Content of proposed project

There are no restrictions to established genres for Art Night (for example, art, music, performing arts or discussion).
Applicants are free to plan their project in any way they choose to be staged on the streets of Roppongi over the two days of Roppongi Art Night.

*Projects that will not be eligible for inclusion in Roppongi Art Night
• Projects that have as their purpose religious or political advocacy
• Projects that have as their purpose the provision of contributions to a particular charity
• Projects that have as their principal purpose the sale of exhibits or products
• Projects that have as their purpose advertising for or advocacy of a specific group or corporation etc.

*Basically the programs will be free of charge. However, any participation or admission fees collected from participants shall belong to the Roppongi Art Night Committee.

10:00 (Saturday) 25 April through 18:00 (Sunday) 26 April 2015

Production costs

A maximum amount of one-million yen per artwork (tax included) will be assumed by the Roppongi Art Night Executive Committee.
Refer to the separate document Open Call Project Applicable Expenses List for costs designated as production costs.

Up to three programs (estimated)

Selection criteria

Originality of the project, the amalgamation of art and the city of Tokyo, the feasibility of the artwork, the project’s ability to include local people

Deadline for applications

Applications must be received no later than 5 January 2015 (Monday)
*this date applies to both email and post applications.

Application documents

Can be sent by e-mail or through the post.
In addition to the prescribed application form, there is a planning proposal document which applicants are free to complete in any way they choose.
Applications should be in a two-dimensional form or in the form of a document (you are welcome to incorporate video or music URLs etc. into your proposal). A three-dimensional form will not be accepted.

11 December (Thursday): Open call for applications begins
5 January (Monday): Deadline for applications
14 January (Wednesday): Shortlisted project notifications*
22 January (Thursday): Open Call Project Public Presentations held
From 23 January (Friday): Final screening (Executive Committee and feasibility checks)
Mid-February: Winning projects selected
March: Project details finalized (including preparation/implementation/set-up schedule, operations plan, etc.)

*Only successful applications will receive shortlist notification by 14 January.

Tasks of the planner (applicant)

1. Determining and coordinating with persons associated with the works to be exhibited
    (artist, producer, performer, contractors/operators etc.)
2. Cooperating in the public relations activity organized by the Roppongi Art Night Executive Committee
3. Creating a plan for installing, managing, implementing and controlling the project
    at the venue before and on the day of the event
4. Attending meetings and events requested by organizers such as planning and production meetings
5. Submitting an implementation report and a revenue/expenditure report
6. Submitting substantiating documents
7. Submitting others documents required for the project in question

Tasks of the Roppongi Art Night Executive Committee

1. Providing free of charge a venue for implementation of a program
2. Publishing information in materials produced by the Executive Committee
3. Assuming production costs
    (with, however, an upper limit on the amount and restrictions on the use of funds)

Handling of artworks

All copyright relating to the artworks included in the event shall belong to the planner (applicant).
